Google Gemini Chat and NotebookLM AI Services

The two Artificial Intelligence (AI) services Google Gemini Chat and NotebookLM are now accessible at no cost to Brown. These services can be used with data classified as Risk Level 3 (unlike consumer AI services such as ChatGPT, DeepSeek, and Claude with whom Brown does not have agreements).

We understand that not everyone is interested in using AI. Please be assured that these tools will not automatically access your data. These tools are optional - if you prefer not to use them, you can simply refrain from visiting the links.


Availability

Google Gemini and NotebookLM are available to:

  • Brown students
  • Brown staff
  • Brown-paid faculty

Please note that we are currently unable to offer Google's Gemini Advanced service or the Gemini Add-On for Workspace at this time.


Google Gemini Chat App

How to access: to ensure your data is protected, log in with your Brown account at https://gemini.google.com

Gemini Chat

  • What it is: Gemini Chat offers a conversational interface, similar to other chat-based AI tools. It allows you to ask questions, brainstorm ideas, draft content, and receive assistance with various tasks.
  • Example Use Case: A staff member could use Gemini Chat to brainstorm ideas for improving employee onboarding materials or draft an initial version of an internal memo.
  • Limits: Google has implemented usage limits for Gemini to ensure optimal performance. These limits may cap the number of prompts and conversations within a specific timeframe. The number of prompts allowed varies based on factors like prompt length and complexity, file uploads, and conversation length. Users will receive alerts when approaching their chat capacity, and usage replenishes regularly.

Gems

  • What it is: Gems are customized versions of Gemini Chat tailored with specific instructions and knowledge for particular purposes.
  • Example Use Case: A staff member in a student services department could create a Gem to answer frequently asked questions from students.
  • Limits: General Gemini Chat usage limits also apply to Gems.

Deep Research

  • What it is: Deep Research mode enables more thorough investigations by searching across multiple sources, synthesizing information, identifying key themes and supporting evidence, and generating structured reports with citations.
  • Example Use Case: A researcher could use Deep Research mode to analyze a collection of academic papers on a specific topic, identify conflicting findings, and generate a report summarizing the current state of research.
  • Limits: Users are currently allocated 10 Deep Research queries every 30 days.

NotebookLM

How to access: to ensure your data is protected, log in with your Brown account at https://notebooklm.google.com

  • What it is: The NotebookLM app provides an innovative approach to analyzing and synthesizing information from multiple sources. This tool is particularly useful when you need to work with a collection of documents and understand the relationships within them. With NotebookLM, you can:
    • Upload or link up to 50 sources per notebook, including text-based documents, YouTube videos, audio files, and websites.
    • Ask questions about the sources and determine where topics appear.
    • Summarize key points and identify connections between ideas across different sources.
    • Curate a podcast-like audio recording that discusses the content of your sources.
  • Example Use Case: Analyzing a collection of research papers, documents, or qualitative data (e.g., interview transcripts) to identify trends, extract key findings, and draft reports.
  • Limits: Notebooks: Up to 100 notebooks, Sources per notebook: Up to 50 sources., Source limits: Each source can be up to 500,000 words or 200MB for uploaded files, Daily Usage: 50 chat queries and 3 audio overview generations per day.
